Why Run For A SWE Officer Position?

Being an officer for WSU’s Society of Women Engineers chapter is a rewarding experience that allows you to build confidence, become a leader, and help provide a safe space for people on campus. You’re able to participate in social events with undergraduates, or network with national companies that may be of interest to you in your career. You have a say as a SWE officer, and the opportunities are truly endless!

Officer Responsibilities

Overview

All positions (unless otherwise stated below):

  • Attend the weekly officer meetings
  • Attend the general member meetings, as they are able to (2x a month, sometimes more)
  • Assist in planning general meetings
  • Are on one, typically, of the committees for Evening with Industry (EWI) in the fall and Kid Science and Engineering Day (KSED) in the Spring unless running the event

 

President

Only current officers are eligible for this position

  • Create meeting agendas for weekly officer meetings
  • Attend all meetings and events (officer, general, KSED, EWI, etc) and represent WSU SWE
  • Ensure the club is maintaining and abiding by the by-laws
  • Ensure officers are fulfilling their officer responsibilities
  • Make any necessary executive decisions for WSU SWE
  • Be the main point of contact for companies, industry professionals, other WSU clubs/faculty/staff
  • Organize and run Evening with Industry in the Fall semester
  • Maintain good standing status with National SWE (2-4x a year there will be documents/information to provide or sign)
  • Oversee and run officer elections in the Spring semester

 

Vice President

  • Approve and edit emails going to faculty, industry professionals, or more than 5 students – at least once a week for the weekly newsletter but will need to approve as necessary and in a timely manner
  • Oversee social media accounts and website updates
  • Oversee grants/fundraising/other finances
  • Organize and run Kid Science and Engineering Day in the Spring semester
  • Assume the duties of President when the President is unable to
  • Assume the role of President if the President is unable to continue the position
  • Assist the President in their responsibilities as needed

 

Treasurer

  • Keep record of the inflow and outflow of money throughout the year
  • Process any reimbursements that are needed in a timely manner by getting necessary signatures and submitting them
  • Coordinate with, approve requests from, and support the fundraising chair
  • Assist in maintaining good standing status with National SWE (providing any necessary documentation to do so) (2-4x a year)
  • Apply for grants (primarily in December)

 

Activities Coordinator

  • Oversee the Outreach Committee, primarily during the Fall semester, and provide weekly updates for the rest of the officers
  • Oversee and run the SWE Shadows Program during the Spring semester, and provide weekly updates for the rest of the officers
  • Have general meeting ideas, both for casual stress relief and professional development
  • Find/be aware of any potential event involvement, collaborative meetings, etc. and bring them to officer meetings
  • Update and maintain the SWE monitor at the front entrance of Sloan
  • Make posters for general meetings and events as needed

 

Secretary

  • Update/adjust and send out the weekly email newsletter – Sunday SWEET Scoop
  • Maintain and adjust the email list for the weekly newsletter as needed
  • Create and share sign-in sheets/forms at meetings and keep a record of member participation
  • Write and share meeting minutes for the weekly officer meetings
  • Provide thank you cards/emails/etc to any faculty, industry professionals, etc. involved in our meetings or events

 

Industry Mentor Coordinator

  • Organize and run the Industry Mentor Program (peer-to-industry) by:
    • Match mentors with mentees
      • Create/update an application, form, or survey for mentees
    • Recruit/find potential mentors through alumni and other networking
    • Recruit mentees and advertise to general SWE members
    • Communicate regularly (2+ times a month) with the mentors and mentees via email
    • Improve upon the program with new ideas and incoming feedback

 

SWEster Program Coordinator

  • Organize and run the SWEster Program (peer-to-peer)
    • Match big and little SWEsters by
      • Create/update a matching quiz, form, or survey
    • Recruit and advertise to general SWE members
    • Host SWEster events for networking and bonding (such as bowling, breakfast, escape room, etc)
    • Communicate regularly (2+ times a month) with the mentors and mentees via email
    • Improve upon the program with new ideas and incoming feedback

 

Social Media Chair

  • Advertise and promote meetings by:
    • Share meeting/event information to advisors, appropriate class, WSU SWE’s social media, and the website
    • Take pictures at all events and general meetings and share/file them
    • Create posters for events and general meetings as necessary
  • Manage, maintain, and run social media accounts by:
    • Monitoring and responding to any messages or requests from social media
    • Providing and coming up with regular content on social media (such as holiday posts, monthly fun facts, thank yous, etc)
    • Being responsible for the SWE discord server
    • Updating, adjusting, and improving the SWE website

 

Fundraising Chair

  • Coordinate and purchase SWAG for WSU SWE, with approval
  • Oversee the purchasing and distribution of membership pins and graduation stoles/cords
  • Be responsible for fundraising opportunities/events/activities/etc:
    • Find fundraising opportunities available or come up with ideas for fundraising events/activities
    • Create budget and plan of action for them
    • Handle the money needed for and produced by the fundraiser
    • Oversee and run any fundraising that is decided upon
  • Assist the Treasurer in applying for grants or asking for donations

 

Graduate Chair

**Graduate Chair is not expected to attend general meetings or be on a committee for EWI or KSED**

  • Be involved with the GradSWE group at WSU
  • Be WSU SWE’s primary point of contact with the GradSWE group
  • Share GradSWE’s meeting and event information with the rest of the officers
  • Share updates/information of GradSWE at officer meetings
  • Attend the weekly officer meetings 1-2x a month
